Where the time goes
Almost five minutes a bill. Most of it is typing.
At 400 bills a month that is over 30 hours of somebody keying what is already written on the page.

Save and closeThe hard parts
It makes the judgment calls, not just the keystrokes.
OCR hands you text and leaves the thinking to you. AP Central hands you the bill you would have entered yourself — on the right vendor, on the right accounts.
One vendor, however they spell it
Checked against the vendors already in your QuickBooks file first, so Acme, Acme Inc and ACME SUPPLY CO. all land on the record you already have.
Reads the handwriting too
Totals, notes and sign-offs written on scanned paper are read along with the print.
Total $1,240.00
OK to pay — J.M.
Lines coded like last time
Accounts and items come from how you coded that vendor before, so month-over-month comparisons mean something.
- Floral Cotton Dress
- Freight, 2 pallets
- Display rack
A statement is not a bill
A statement listing invoices you already have is recognized for what it is — not posted as one more bill.

Expenses route to whoever signs them off, with the image attached, before they reach the ledger.
Set the rules once
Default accounts per vendor, the fields that must be filled before anything posts, and who approves what. Then it just runs.
What it costs today
You are already paying to key these.
Just not on an invoice. Put your own numbers in and compare.

That is $838 a month of time back, and the bills still get reviewed by a person.

- Does anything post without me seeing it?
- No. A bill reaches QuickBooks Online for you to approve — AP Central does the reading, the matching and the coding, and you do the approving. Receipts route to whoever signs them off.
- What happens when it is not sure?
- A field it cannot read confidently, or a vendor it cannot match, is flagged for a person rather than guessed at. The original document stays attached either way, so there is always something to check against.
- How do invoices get in?
- Forward them, or point AP Central at the mailbox your vendors already send to. It picks up attachments and bills written into the message body, PDFs and scans alike.
- What does a page mean on my bill?
- Pages, not invoices — a two-page invoice uses two. Plans start at $95 a month for 2,000 pages, and if you need more on a plan you buy them at that plan's own rate. $0.30 a page is the no-commitment rate, for running without a plan at all.
- Which accounting system does it write to?
- QuickBooks Online. Bills and expenses are written directly against your own vendors and chart of accounts — not exported as a file for you to import.
- How long does setting it up take?
- Connect your QuickBooks Online company, then forward a bill. No install, and no implementation project.
