For firms

More clients per person, not more people.

For a firm, AP data entry is the work that scales linearly with headcount and nothing else. It is also the work least likely to make a client stay. Taking the keying out of it changes what one person can carry.

What AP keying costs your book

Hours a month

72

Working days

9.6

That is the capacity sitting inside transcription across your book — at a 7.5-hour day. Your numbers, not ours.

01

The bottleneck is hours, and you already know the number.

You can work out your own position faster than any case study will: bills a month across your book, minutes to key one, loaded cost of the person keying. The calculator on the pricing page does that arithmetic with your numbers rather than ours.

  • Keying is the least valuable hour your staff bill
  • It is also the easiest hour for a client to question
  • Capacity you get back is capacity you can sell
02

Your people check the work instead of producing it.

The skill in bookkeeping is knowing when something is wrong. That skill is wasted on transcription and sharpened by review. Anything AP Central cannot code confidently is flagged for a person rather than guessed at, so attention goes where it is worth something.

  • Exceptions surfaced rather than buried
  • The source document attached to every transaction
  • Consistent coding, so month-over-month comparisons mean something
03

Close on the numbers, not on the pile.

When bills post as they arrive rather than in a scramble, the month-end picture is closer to real all month. That changes what you can tell a client in the first week rather than the third.

What changes

The same staff, a different job.

Before

  • Staff transcribe invoices client by client
  • Capacity grows only by hiring
  • Coding depends on who processed it
  • Close waits on the pile

After

  • Staff review exceptions and judgement calls
  • Capacity grows with the tooling
  • Coding is consistent per vendor
  • Bills post as they arrive

Questions

Anything missing? solutions@ademero.com

Can one account cover several client companies?
Ask us about your book before you commit. Firms are a case we want to get exactly right for your setup rather than answer generically.
What does it cost across a lot of clients?
It is billed by the page, and the rate falls with volume — $0.048 a page on the 2,000-page plan down to $0.039 on 50,000. More pages on a plan are bought at that plan's rate.
Will my staff need training?
The review happens in QuickBooks Online, where they already work. The new part is approving rather than keying.
